Hi All,

I am getting following warning message while importing the PO WF in the other environment.

" Organization distribution for the participant token FP&A should be filled in. Project distribution for the participant token FP&A should be filled in."

Any idea on this??

Here are my findings. Microsoft has mandated to use the "Purchase order expenditure reviewers setup before enabling the workflow " setup to use PO workflow.

Microsoft Dynamics 365 Finance and Supply Chain Management (F&SCM) has introduced a new feature impacting the procurement expenditure workflow that became mandatory with the version 10.0.43 release. This feature is related to checking the purchase order expenditure reviewers setup before enabling the workflow. Specifically, the "Check purchase order expenditure reviewers setup before enabling workflow" feature was targeted to become mandatory with the 2023 Release Wave 1 and became fully mandatory with version 10.0.43.

Interestingly Microsoft disabled this feature on lower environments so I dint get any error while importing the WF on other lower environments but this is enabled on the Production environment and I was getting this issue.

Thank you for sharing the warning message. The issue you're encountering during the workflow import is related to missing distribution settings for the participant token FP&A.

To resolve this, you’ll need to ensure that both the Organization distribution and Project distribution fields are properly configured for the FP&A participant in the target environment. These settings define how tasks are routed and who is responsible for approvals, so they must be explicitly set when moving workflows between environments.

Before importing, it’s a good practice to review the workflow configuration in the source environment and replicate the necessary participant assignments and distributions in the destination environment.

Yes your workflow is very simple and it is not using any participant types. It shows it is simple approval based on list of users.

Search shows that, quite a few people have faced this issue. Some mentioned that it is due to a feature that Microsoft released in 10.0.35 and then later disabled the feature because this error. I would not doubt the feature as 10.0.35 is too old today. The feature name was Check purchase order expenditure reviewers setup before enabling workflow. This is disabled till today , therefore we can ignore this suggestion..

someone else on the yammer said that The issue occurred because the "Tax calculation parameters" setting was enabled. Since Tier-1 environments don’t support this functionality, they encountered the error on the Cloud Hosted Machine after restoring data from the production environment

What is your other environment type? Is it a DEV system or Tier-2 test system. Could you attach the workflow configuration file here, if it contains no sensitive data,

The WF is very simple and there is only one approver for the workflow.

I myself configured the WF , So , if this gives the answer to your question then , Yes I can open that and reconfigure the necessary changes if you do have solution to this issue.

Hi André,

The participant is a purchasing manager who is going to approve the PO after certain limit. The WF is very simple and she is the only approver in the WF.

The hierarchy is setup in the target environment.

Not getting why still its giving error.

Hi,

Can you tell us the configuration details of the original workflow? Which approvals or manual decisions have you set up with what type of participant provider?

The warning is talking about a participant token "FP&A". I think this might be a specific hierarchy (based on positions?) that is not configured yet in the target environment.
