lot no assigning issue

Hi All,
I want to understand a behavior in Business Central.

Let’s say I am creating a Sales Order and using inventory items that are tracked through Lot Numbers.

For example, I have Item A with Lot No. 123 in inventory. When I create a sales order and go to assign the lot number, Business Central shows Lot No. 123 in the Item Tracking Lines list, so I can select it directly. This works as expected.

However, I am seeing another case with Item B, which has Lot No. 456 available in inventory. But when I create a sales order and go to assign the lot number, the lot number list in Item Tracking Lines does not show any available lot numbers.

This is my main question: In which scenarios does Business Central not show available lot numbers in the Item Tracking Lines list, even though inventory exists?

Sometimes if I manually type Lot No. 456, it gets accepted and then appears inside. Other times, even manual entry does not work.

So, in short: Why are lot numbers sometimes not visible in the selection list like Item A, even though stock exists for that lot?

    Hello,

    Have you checked the Location and Bin Code of that particular lot? There might be a chance that this is a filtering issue.

    Hello,

    Yes I do agree with @Yash_Mistry  On the sales order line, if a Location Code or Bin Code is already specified, the system will only display lot numbers that are available within that specific location and bin. If the required lot is not available in the selected location/bin, it will not appear in the Item Tracking Lines.

    To validate this, please review the Item Ledger Entries when working with location-based inventory. If bin management is enabled, you should instead verify the availability in the Warehouse Entries, as bin-level tracking is maintained there.

    Most likely it’s because you haven’t selected a Location Code on the sales order.

    You need to select a Location Code before the system will show you the available lots. The Bin Code, if you use bins, does not need to be selected.

    If the lot is unavailable because it's reserved on other orders and so on, you'll still see it in the selection page, so that wouldn't be the reason why.

    If a specific Lot isn't showing up in your lookup list during sales or invoicing, check these usual suspects:
    Item Tracking Code: Check the item card. If Lot Specific Tracking is enabled, manual entry is blocked unless the lot is available at that specific location.

     
    Location & Variant Mismatch: The lot must physically sit in the exact Location and Variant specified on your sales line. If the sales line says "BLUE" but the stock is in "RED," the list will be empty.
     
    Reservations: Is the lot already reserved against another document (like a transfer or production order)? If so, it’s no longer available to pick.
     
    Expiration Dates: If your item is expired and Strict Expiration Posting is turned on, Business Central will hide it from the list.
     
    The fastest way to troubleshoot is to open Item Tracking Entries for the item, filter by the missing lot number, and check the Location Code and Remaining Quantity. That will tell you exactly where your stock is hiding!

    This means that 456 is currently unavailable, possibly reserved by other orders, or possibly in other locations or bins.
    Even if you can enter it manually, it will still show an error message when you post the sales order. This is standard practice.

    Hello,
    lot numbers in Item Tracking Lines are shown based on actual available tracked quantity, not just item inventory; the list can be blank when the lot exists but is not available for that sales line because of things like wrong Location/Variant/Bin context, the lot is already reserved/allocated on another order, picked/handled in warehouse activity, quantity is available in inventory but not for that specific lot/location, the tracking page was opened before changes and needs Refresh Availability, or item tracking setup differs between Item A and Item B. Manual typing works only when BC can validate that the lot is available for the exact item/location/variant and not already consumed/reserved; if it fails, check Item Ledger Entries for Lot 456, then Reservation Entries/Item Tracking Summary, and compare Location Code, Variant Code, Bin, Remaining Quantity, Total Requested Quantity, and Total Available Quantity.
