Approve multiple workflow lines at once

This is a normal requirement at all customers I've been at - ability to approve/reject multiple approvals at once. I.e. You open your approval screen and have 30 timesheet approvals. You want to approve 28 lines and reject 2 (after reviewing a summarized report because opening 30 workflow lines individually would be extremely time consuming). There is nothing out of the box to accomplish this at it stands which seems like a huge gap at each company I've been at.

Microsoft released the workflow change 'Delegate multiple work items' which allows you to bulk delegate, but not bulk approve/reject. Entering each approval is extremely time consuming when you have a company with large volumes of approvals.

Has anyone found a way around this or requested to Microsoft?

Unfortunately, as you correctly mentioned, the ability to bulk approve or reject multiple workflow work items is not currently available out of the box in Microsoft D365 F&SCM.
At present, workflow approvals must be processed individually, although Microsoft has introduced bulk delegation functionality. Bulk approve/reject is still a functional gap in high-volume approval scenarios such as timesheets.

That said, there are viable solution options to address this requirement:
Option 1: D365 Customization (Recommended for ERP-centric environments)
    • We can implement a controlled customization to extend the “My Work Items” screen, allowing users to:
    • Select multiple work items
    • Approve or reject them in bulk
    • Maintain full workflow audit trail and security validation
This approach keeps the solution fully inside D365 and ensures performance, compliance, and upgrade safety (using extensions only).

Option 2: Power Platform Solution (Recommended for organizations already leveraging Power Apps)
Alternatively, we can design a Power App approval dashboard that:
    • Displays pending workflow items
    • Allows multi-selection
    • Triggers bulk approval/rejection through Power Automate
This provides a modern user experience and flexibility, but introduces Power Platform licensing and governance considerations.

    Hey,

If you need a 2nd opinion. I agree with @Syed Haris Shah. Personally, I tend more to a power platform solution, but both solutions are valid.

    Kind regards, Adis

    Hi,

As mentioned above, you can consider a customization, but you should first check with your auditors if and how this will be allowed as it may impact SOC 2 compliance. Only under certain circumstances, it is allowed to use such feature.
I'm aware of an vendor invoice automation solution that had to remove the support for mass approvals to become compliant.
