Mixed third party data matching

Hi

I have a current situation where I regularly receive a set of contact data from a third-party provider. This data set can include both contacts who are already signed up within our Dynamics system, as well as new contacts. We do a manual import to get these contacts into the system as there is no Integration set up with the platform it comes from. This works fine for the new contacts, but existing contacts receive duplicate record errors, and we need to update at least one field on their contact record which records their interaction with this third party (and is pulled into a follow-up email). This leads to us currently having to manually update each existing record which is very much not the best solution!

Is there an easy way to match the field to these existing records when importing or through another tool?

Thanks

    Hi There

Based on my understanding I suggest as below

    1. Create a Power Automate based check if an existing contact being loaded from file then do not update the record

    2. If you still want to update a specific field for the existing record than you can create another flow which would compare the existing records and update that Something as below?

    A suggested high-level flow:

    Trigger:

When a file is created in OneDrive/SharePoint folder.

    Parse Excel/CSV Rows:

Use the "List rows present in a table" action for Excel or a CSV parser.

    Loop Through Each Contact Row:

Use a Get Record (Dataverse) or List rows action in Dynamics to search for existing contacts via email.

    Condition – Contact Found?

    If Yes:

Use the Update a row action to update only the Interaction field.

    If No:

Use the Create a new row action to create a new contact.

    Regards

    Vinita
