Dynamics App for Outlook: Emails not tracking as expected

From Outlook, I would like to automatically track emails to and from email addresses that are associated with a record in Dynamics.
 
My understanding is that, with correlation turned on at the system level and "Track: Email messages from Dynamics 365 records that are email enabled" selected at the personal level, this should work.
 
Is my understanding correct? Either way, can you help me figure out how to accomplish my goal, please.
 
System settings are:
  • Correlation: On
  • Use tracking tokens: Off
  • Use smart matching: Off
  • Folder-level tracking: On (but we are not using this)
  • Tracking between people: On

    Your understanding is partially correct, but those settings alone will NOT automatically track all emails just because the email address exists in Dynamics.
    • Correlation = ON → only tracks replies within existing tracked conversations
    • It does NOT auto-track new emails from known contacts
    Better Options
    • Use Dynamics 365 App for Outlook for easy tracking
    • Use Folder-level tracking for controlled automation
    • (Optional) Use Power Automate for full automation

    Here’s the exact sequence to set up Dynamics 365 App for Outlook and enable email tracking:

    Step 1: Prerequisites

    • Make sure Server-Side Synchronization is enabled for incoming and outgoing email.
    • Users who need the app must be assigned the Dynamics 365 App for Outlook User security role.
    • The mailbox for each user must be approved and tested successfully.

    Step 2: Enable Server-Side Email Sync

    1. In Dynamics 365, select Settings  Advanced Settings.
    2. Go to Settings  Administration  System Settings.
    3. Switch to the Email tab.
    4. Under Process Email Using, select Server-Side Synchronization, then OK.

    Step 3: Approve and Test Mailboxes

    1. Go to Settings  Advanced Settings  Email Configuration  Mailboxes.
    2. Select the user mailboxes you want to enable.
    3. Click APPROVE EMAIL  OK.
    4. Click TEST & ENABLE MAILBOX  OK.
    5. Wait until the Configuration Test Results show Success.

    Step 4: Deploy Dynamics 365 App for Outlook

    1. Navigate to Settings  Dynamics 365 App for Outlook.
    2. On the Getting Started page:
      • To auto-add the app: Check Automatically add Dynamics 365 App for Outlook.
      • To manually add: Select users from the list → click Add App to Outlook.
    3. Status changes to Added to Outlook, and the app appears in the Outlook ribbon.

    I do have Dynamics 365 App for Outlook installed and running. Users are still required to Set Regarding for all emails they want tracked. Considering that and the above shared settings. What other steps do I need to take?

    Microsoft intentionally removed full automatic email tracking from Outlook to prevent over tracking email noise , performance issues , privacy risks
    that you should also need to take care while you are working on this requirement

    What your current settings actually do
    Correlation: On ( Enables linking after an email is tracked) 
    Tracking tokens = Off (Normal for Outlook scenarios) 
    Smart matching = Off (Prevents heuristic matching)
    Folder‑level tracking = On (Only works if folders are configured) 
    Tracking between people On ( Allows matching via participants)

    Why “Set Regarding” is still required
    With Dynamics 365 App for Outlook: Emails are NOT tracked by default , Users must explicitly choose:
    • Track without regarding, or
    • Set Regarding
    This applies even when: Correlation is on, Contacts/Accounts exist , Email addresses match
    This is expected and correct behavior as per design
     
    What can work for your case and what you can do : 

    Option 1 :  Folder‑Level Tracking (most common)
    Best for semi‑automatic tracking.
    How it works
    Create Outlook folders (e.g. “Tracked – Customers”)
    Configure Folder Tracking Rules in Dynamics
    Emails moved into those folders are automatically tracked , need little bit user training here as they need to maintain folders in their outlook.
    Benefit for this : No user clicks per email
    Cons :  Requires folder discipline by user
     
    Option 2 : Dynamics 365 email sent from within Dynamics
    When users send email from Dynamics:
    Correlation works
    Replies auto‑track
    Conversation threads stay linked
    Benefit for this :  Best user experience 
    cons  : Does not cover Outlook‑initiated emails
